Lean Office

Preliminary

Handout: A brief Overview of the four components of developing a Lean Office.

Worskshop Preparation: Plan the scope and assign next steps for your workshop.

Prioritize

Goals & Objectives: Why ARE you working? How do you contribute to the customers and the company?

Process Inventory: What ALL do you do at (or from) your Workstation?

Evaluation Criteria: Since we can't optimize the Workstation around 35+ processes; which ones are "Key?"

Requirements Analysis: Given your 3-5 Key process, what exactly do you need to do these? What should you save? How much? How long?

Organize

Red Tag: A form you can print for "red-tagging" items that need to be dispositioned later.

Event Signs: Hang these in the workshop area to identify various types of items leaving the area; and to communicate with custodial staff about when to remove items.

Workstation Layout: Make the workstation visual with this information tag/diagram of shelves, drawers, etc.

Electronic Space: Sticky Notes - what's the difference between an Alert and a Reference? Personal E-space - how to find and reduce e-space used in email and in personal directories. Shared directories - how to purge and organize what's left. E-Bytes Reduction Tracking - how many bytes were removed in this event?

Facilitation

Ice Breakers: Why do we use Ice Breakers? How can you make them work for you? Check out this List of Sample Ice Breakers...

Management Champion: How do find and utilize the right champion for your project?

Problem Statement: This method is used in the Six Sigma world for properly scoping the problem without offering a solution.

Mission Statement: Guide your team through the development of a Mission Statement.

Meeting Management Tools: Agenda (to plan and run the meeting) Action Items Form (to collect items), Action Items Log (to track items), Process Check (to see how the meeting went).
